Put AI to work with Allied Business Solutions

Managed AI
(MAI)

BoiseIdaho FallsOntarioPocatelloSalt Lake

Managed AI finds the right work to automate, deploys AI agents into your real workflows, and keeps them secure, accurate, and improving — so your team gets capacity back without adding headcount or taking on the risk.

…and we actually pick up the phone.

The gap

Most businesses have tried AI. Few have gotten anything out of it.

Somebody on your team is using ChatGPT or Copilot. Maybe a vendor pitched you a “smart” feature. But the invoices still get keyed by hand, the phone still rings off the hook, and the reports still take a week. That gap between experimenting and actually operating with AI is where most companies are stuck.

Pilots that never ship.

Research from MIT found the vast majority of businesses investing in generative AI have seen no measurable return. The tools work. The rollout doesn't.

Nobody owns it.

AI agents aren't set-and-forget software. Without monitoring and tuning, their output drifts, and most projects underperform within months of launch.

The security question nobody answered.

An AI agent with access to your email, files, and finance system is a new user on your network. Who set its permissions? Who's watching it?

Managed AI closes that gap. Same idea as managed IT — you don’t hire a network engineer, you hire us. Now you don’t need to hire an AI team either.

What Managed AI is

Managed IT kept your systems running. Managed AI puts them to work.

For years, managed services meant we handled your infrastructure so your people could focus on the business. Managed AI extends that same model one level up: we handle the AI agents that do the work itself — the invoice processing, the scheduling, the customer follow-up, the reporting — inside the systems you already use.

You don’t buy software licenses and figure it out. You get a working outcome, priced as a monthly service, backed by the same accountability you already expect from Allied.

We find the work worth automating.
We deploy agents that do it — safely.
We manage them for as long as you’re a client.

The engagement

Six services. One managed relationship.

Every engagement moves through the same six stages. Most clients start with the first one and expand from there. Nothing gets automated until it’s been mapped, and nothing goes live without someone responsible for keeping it running.

01

Discover

Playbook: Discover

Find the work that's costing you the most — and the fastest win.

Every business carries years of "this is just how we do it" — manual hand-offs, re-keyed data, reports built in spreadsheets at midnight. We call it process debt, and most of it is invisible until someone maps it.

  • AI Readiness Assessment: a short, structured review of your workflows, systems, and data — not a six-month audit
  • Use-case discovery and prioritization across finance, operations, sales, and service
  • A ranked shortlist with estimated hours saved and the one "first win" we'd start with
You get

A written roadmap you own, whether or not you go further with us.

02

Prove

Playbook: Sell — outcome-based pricing & proof of value

See the results before you commit to the program.

We don't sell AI by the seat or by the hour. We agree on what "working" looks like — hours returned, cycle time cut, error rate reduced — then run a time-boxed pilot against a real workflow with real data.

  • A defined pilot with a baseline, a target metric, and a rollback plan
  • A transparent dashboard so you can watch the numbers move
  • Pricing aligned to the outcome, not the tooling, once the baseline is proven
You get

A go/no-go decision backed by your own data, typically within 30–60 days.

03

Curate

Playbook: Buy — vetted agents & prebuilt workflows

The right pre-built agents, vetted so you don't have to.

There are thousands of AI agents and "AI-powered" tools on the market. Most of them are not worth your time, and a few of them are dangerous to hand your data to. We source from vetted marketplaces and vendors, check security and compliance, handle the licensing, and configure each agent for how your business actually operates.

  • A curated catalog of proven agents for finance, customer service, scheduling, documents, and operations
  • Security and data-handling review before anything touches your environment
  • Licensing, vendor management, and renewals handled by Allied
You get

Working agents in weeks instead of months — with one vendor relationship to manage: ours.

04

Build

Playbook: Build

When nothing off the shelf fits, we build it.

Some of your most valuable processes are unique to you — the way you quote, the way you onboard, the report your owner wants every Monday. Off-the-shelf agents can't solve those. Our engineers build custom agents and multi-step workflows that connect the systems you already run.

  • Custom agents and automations built around your proprietary processes
  • Integration with your ERP, CRM, Microsoft 365, and line-of-business applications
  • Data readiness work scoped to the specific process — not a full-scale data overhaul
You get

Automation that fits your business instead of forcing your business to fit the software.

05

Deploy

Playbook: Implement

Launched into real workflows, adopted by real people.

This is where most AI projects die. Industry analysts expect a large share of AI agent projects to be cancelled before they ever deliver value — usually because the technology was installed but the organization never changed around it. We treat deployment as a discipline: technical setup, permissions, guardrails, and training, all inside a defined project.

  • Workflow and integration mapping: systems, data, and who's allowed to do what
  • Identity, access control, and guardrails configured before go-live
  • Role-based training for leaders and end users, so agents get used, not just installed
You get

A structured Deployment Sprint, typically 2–6 weeks, with clear success metrics and a rollback plan.

06

Manage

Playbook: Manage

We keep it running, secure, and getting better.

AI agents aren't static software. Their inputs change, your systems change, and their output drifts if nobody is watching. Manage is the ongoing service — the reason this is Managed AI and not an AI project.

  • Continuous monitoring: uptime, accuracy, cost, and integration health
  • Security and compliance oversight, including access reviews and audit trails
  • Quarterly optimization and a "growth map" recommending the next agent worth deploying
You get

A single monthly subscription, a named point of contact, and performance reporting you can put in front of your leadership team.

Example workflows

Where clients typically start

Illustrative examples

Accounts payable

Invoices captured, coded, matched to POs, and routed for approval — with exceptions flagged for a human, not buried.

Front desk and inbound calls

A voice AI receptionist that answers every call, books appointments, and hands off cleanly to your team.

Document handling

Contracts, forms, and inbound paperwork classified, extracted, and filed into your document system.

Reporting

The weekly and monthly numbers your leadership asks for, assembled and delivered before anyone has to ask.

Why Allied

Why an MSP should run your AI

we run it on ourselves first.

We already know your environment.

Your network, identities, devices, and security posture are already managed by us. AI agents plug into that — safely — instead of becoming one more unmanaged tool.

We use it ourselves first.

Every service we offer has been run inside Allied before we bring it to a client. Our own operations are the proving ground — including voice AI receptionists, automated reporting, and internal workflow agents.

Security is not an add-on.

Least-privilege access, logging, and human escalation paths are built into every deployment from day one, not patched on later.

Local, and staying that way.

Five offices across Idaho, Oregon, and Utah. Around 130 people who pick up the phone. Accountability you can drive to.

How it works

Start with one workflow. Grow from there.

Step 01

Assessment

A short readiness review and prioritized roadmap. Fixed fee, credited toward your first deployment.

Step 02

Pilot

One high-impact workflow, a baseline, and a target. Prove it works.

Step 03

Deployment Sprint

Take it live with integrations, guardrails, and training.

Step 04

Managed AI subscription

Ongoing monitoring, optimization, and expansion.

No long-term commitment until the pilot proves the value.

Pricing approach

Priced on outcomes, not licenses

We don’t charge per user for software you have to figure out. Managed AI is priced around the work the agents do — per workflow, per deployed agent, or tied to a measured result — with a fixed monthly management fee that covers monitoring, security, and optimization.

Your assessment includes a written estimate before anything is deployed.

FAQ

Questions we get every time

Do we need to be an existing Allied managed services client?

No. Managed AI is available as a standalone service. Existing clients do get faster deployments because we already manage the environment agents connect to.

What about our data? Where does it go?

Every agent is reviewed for data handling before it touches your systems. We configure agents with least-privilege access, log their activity, and keep your data inside the platforms you already control wherever possible. If you're in a regulated industry, we'll map the workflow to your compliance requirements before build.

Will this replace our people?

In our experience it replaces the parts of their job they dislike most — re-keying, chasing, formatting, routing. The goal is capacity: the same team handling more work, faster, with fewer errors.

How fast can we see results?

The assessment takes 2–3 weeks. A pilot typically produces measurable results within 30–60 days. Full deployment sprints run 2–6 weeks depending on the number of workflows.

What if an agent makes a mistake?

Every deployment includes human escalation paths and a rollback plan. Agents handle the routine cases; exceptions go to a person. And under the Manage service, we monitor output continuously and correct drift before it becomes a problem.

What systems can you integrate with?

Microsoft 365, most major ERP, CRM, and accounting platforms, document management systems, and phone systems. If it has an API — and increasingly even if it doesn't — we can connect to it.
